Godaelli Psychiatry and Mental Health Center is looking for a Practice Administrator to own the business side of the practice — financial performance, payer relations, revenue cycle, compliance, staff leadership, and daily execution — so our clinicians can stay focused on patient care.

About the practice

Godaelli Psychiatry and Mental Health Center is an integrative psychiatric practice serving adolescents, adults, and older adults across Virginia, Maryland, and Washington, D.C. From offices in Woodbridge, McLean, and Fredericksburg, we deliver psychiatric evaluation, medication management, and supportive therapy — in person and through telepsychiatry — to individuals, facilities, and rehabilitation hospitals. Our mission is to expand access to high-quality mental health care, reduce stigma, and improve outcomes for individuals and families across the lifespan.

Position summary

The Practice Administrator partners with the Owner/Medical Director on strategy and growth while directing the day-to-day running of the practice.

Key responsibilities

Financial and revenue cycle management

  • Manage the operating budget with the Owner/Medical Director and deliver monthly financial reporting
  • Manage payer and patient collections, A/R, claims, denials, and appeals
  • Coordinate with the practice CPA on close, tax, and reporting

Payer relations, credentialing, and compliance

  • Manage payer contracting, fee schedules, and underpayment follow-up
  • Manage clinician credentialing and re-credentialing across Virginia, Maryland, and Washington, D.C., including prior authorizations and licensure tracking
  • Maintain HIPAA compliance, 42 CFR Part 2 where applicable, controlled substance procedures, audits, and records requests

Operations and people leadership

  • Direct daily clinic operations, including intake, waitlists, scheduling, and no-show reduction
  • Own EHR and practice management systems, telehealth workflows, and vendor contracts
  • Recruit, onboard, supervise, and develop non-clinical staff, and coordinate clinician onboarding logistics
  • Manage payroll, benefits, PTO, HR records, handbook updates, and corrective action

Growth and strategy

  • Support growth planning, clinician recruitment, new service line launches, and payer mix strategy
  • Oversee referral relationships, marketing, and online reputation

Qualifications

Required

  • Bachelor’s degree or equivalent experience
  • 5+ years managing outpatient medical practice operations
  • 2+ years of budget or P&L accountability
  • Experience with payer contracting, credentialing, and revenue cycle
  • Proficiency with EHR/practice management reporting
  • Demonstrated discretion handling confidential personnel and clinical matters, with working knowledge of HIPAA

Preferred

  • Psychiatry, behavioral health, or substance use disorder experience, including 42 CFR Part 2, controlled substance rules, and behavioral health carve-out payers
  • Multi-state credentialing or telehealth experience across VA, MD, and DC
  • CMPE/FACMPE, MHA, or MBA
  • Familiarity with Tebra (Kareo)

Success measures

Within 90 days, deliver a clear assessment of financial performance, payer contracts, and staffing. Within 12 months, improve net collection rate, days in A/R, no-show rate, and referral-to-first-appointment time while reducing ownership’s administrative burden.

Position

  • Full-time — on-site and hybrid, based in our outpatient clinical offices in Woodbridge, VA 22192 and Fredericksburg, VA 22401, with flexible work-from-home options
  • $70,000 base, plus performance bonus — $85,000 target total compensation, tied to the success measures above
  • The position has a 90-day probationary period; offers are contingent on a background check and comprehensive drug screening
